How PrismaWMS works
Goods come in (Inbound), are kept (Inventory) and go out (Outbound). Master Data describes your warehouse and products; Administration controls who may do what. Everything else supports these three.
The big picture
Not every company uses every step. For example, if your ERP sends the orders, you may receive without a purchase order, or ship without waves and packing. PrismaWMS lets an administrator switch steps on or off per client (see Administration → System Settings).
The chapters and how they connect
Administration sits above all of these: it decides who may use which screen, which steps are switched on, and how PrismaWMS talks to your other systems.
Documents and their numbers
Every job in PrismaWMS is a document with its own number, so you can always find it again:
| Document | Example number | Meaning |
|---|---|---|
| Purchase order | PO-KL-DC-01-2026-018541 | What you ordered from a supplier |
| ASN | ASN-KL-DC-01-2026-004928 | Advance shipping notice — what is coming |
| Receipt | RCPT-KL-DC-01-2610-00103 | What was counted at the dock |
| GRN | GRN-KL-DC-01-2610-00085 | Goods received note — stock is now booked |
| Sales order | SO-2026-0092621 | What a customer ordered |
| Pick task | PK-KL-DC-01-00343171 | One pick for one picker |
| Shipment | SHP-KL-DC-01-2026-000034 | What left the warehouse |
| Adjustment | ADJ-KL-DC-01-2610-00067 | A correction to stock |
The number usually contains the warehouse (KL-DC-01) and the year/month, so you can tell at a glance
where and when it was made.
Every change is recorded
Stock never changes "by itself". Each change is made by a document (GRN, pick, adjustment …) and written to the stock ledger with who, when and why. Important actions also go to the audit trail. This is how PrismaWMS can always explain a number.
