Lot & Serial

For lot-tracked and serial-tracked items, this screen lists every lot / batch with its expiry, days left, quantity and status — and every serial number. Trace shows exactly where a lot is now, which orders reserved it and every movement since it was received. If something is wrong with a lot, quarantine or recall it in one click: all its stock is put on hold.

The lot list

Lot & Serial
Lot & Serial
  1. Lots and Serials — switch between lot / batch numbers and serial numbers.
  2. Expiry and Days left — red means the lot has expired (here 145 days ago). The Shelf life bar shows how much life is left.
  3. Statuses — the statuses the lot's stock is in, and whether a hold is open on it (1 hold).
  4. Trace (where-used) — where this lot is and where it went (next section).
  5. Quarantine lot — put all stock of this lot on hold while you investigate.
  6. Recall lot — put all stock of this lot on hold because of a product recall.

On hand, Available and Held show the totals of the lot over all bins; Bins shows how many bins it is in.

Trace a lot

Click Trace (where-used).

Lot trace
Lot trace
  1. Current stock — every bin and LPN that holds this lot, with status, on hand, reserved and available.
  2. Reserved — part of the lot that is already promised to orders.
  3. Reservations — the sales order lines that reserved this lot: ACTIVE (still open) or CONSUMED (picked or shipped). Click an order to open it.

Further down, the trace lists every movement of the lot from the stock ledger — receipt, moves, picks, shipments — with document, bin, quantity, date and user.

Recall in practice
  1. Trace the lot to see what is still in the warehouse and on which orders and shipments it went out.
  2. Recall lot — all remaining stock is put on hold so it cannot be picked.
  3. Contact the customers of those orders, and manage the held stock in Holds & Status (release, write off, or return to the supplier).

Serials

On the Serials tab every serial number is listed with its item, status, bin and — once shipped — the order it went out on. Tracing a serial shows its full history.
